What happened
Gavel Buddy went offline in spring 2025 without a migration plan for its users. Industry coverage at the time described an unexpected shutdown - Auction Techs' May 2025 write-up quotes founder Larry Garafola: "We've been hearing from auctioneers across the country who suddenly find themselves without a platform." Today the domain forwards to the Auction Flex/HiBid ecosystem's trial funnel, which suggests where the assets landed - but former users are shown a generic product pitch, not a migration path.
What you actually lost - three jobs, not one
Gavel Buddy served small and mid-size auction firms as an affordable all-in-one: cataloging, clerking, and cashiering. No single replacement decision covers all three, and the vendors courting Gavel Buddy refugees mostly sell one or two of them. Name your bottleneck first:
1. Cataloging (photos to listed lots). This is Gavelist's lane, and the piece where the tooling has moved furthest since Gavel Buddy's era: upload the whole sale's photos, sort into lots, and AI writes titles and descriptions reading every photo per lot - according to Gavelist production data (April to August 2026), 96.6 percent of 38,106 client-exported lots shipped with the description unedited. $0.15 per lot pay-as-you-go, first 100 lots free, no contract - meaningful if you were burned by depending on one vendor.
2. Clerking and cashiering (running sale day). Gavelist does not do this. Your realistic options are the Auction Flex/HiBid ecosystem the old domain now points to, Wavebid, Auction Techs, or Estimint's newer management suite. Evaluate them on sale-day workflow and settlement, and treat any bundled AI descriptions as a feature to test, not the reason to choose.
3. The pairing. Most former Gavel Buddy shops end up with a two-piece stack: a management platform for sale day, plus a cataloging layer for production. The plumbing is ordinary CSV - Gavelist exports ready-made files for HiBid, LiveAuctioneers, Proxibid, and BidWrangler, plus a universal CSV/XLS formatted for import by AuctionZip, AuctionMethod, Wavebid, AuctionFlex 360, and other spreadsheet-import systems. The migration itself
There is no Gavel Buddy export to rescue at this point - if you did not pull your data before the shutdown, you are rebuilding from photos and records. The practical order: pick your sale-day platform first (that decision constrains everything), then put your next sale's photos through a cataloging layer trial rather than hand-rebuilding the catalog. The lesson worth keeping
The real cost of the shutdown was concentration risk: one vendor held cataloging, clerking, and cashiering, and one outage took all three. A platform-independent stack - where your catalog exports anywhere - is the durable fix, whichever vendors you pick.
